What Does a Virtual Assistant Actually Do All Day?

It's one of the most common questions I get asked, usually followed by a slightly embarrassed laugh: "I'm not entirely sure what a VA actually does — is that bad?"
Not at all. The term "virtual assistant" gets thrown around a lot, and it can mean different things depending on who you ask.
So let me pull back the curtain and give you a proper look at what a day in the life of a VA actually looks like — and more importantly, what that means for you as a business owner.
First Things First — What Is a Virtual Assistant?
A virtual assistant is a self-employed professional who provides business support remotely. We're not employees — we work with multiple clients, manage our own time, and bring our skills and experience directly to your business without the overheads of a hire.
Think of it like having a highly capable colleague, without the desk, the NI contributions, or the need to provide a pension.
So What Do We Actually Do?
Honestly? The list is longer than most people expect. Here's a snapshot of what a typical day might look like for me:
Morning: Review and organise client inboxes, flagging urgent items and drafting responses. Check client calendars — confirm upcoming appointments, send reminders, and reschedule anything that's moved. Update CRM systems with new enquiries or follow-up notes.
Midday: Raise invoices for a client and chase an outstanding payment from last month. Schedule social media posts for the week ahead. Research a venue for a client's upcoming team meeting and compile options into a neat summary.
Afternoon: Handle incoming calls or enquiries on behalf of a client. Carry out data entry and file organisation. Prepare a weekly activity report so clients always know exactly what's been handled.
What a VA Is NOT
A VA is not a personal assistant in the traditional sense — we're not there to book your holiday or pick up your dry cleaning (although some VAs do offer lifestyle support, so it's always worth asking!). We're business support professionals, focused on keeping your operations running smoothly.
We're also not employees. You're not managing us, training us from scratch, or responsible for our development. You tell us what you need, we deliver it, and we flag anything that needs your attention.
