VA vs Employee — What's Right for Your Business?

If your business has reached the point where you can't do everything yourself, congratulations — that's a good problem to have. It means you're growing.


But figuring out how to get support is a different question entirely. Should you hire an employee? Or bring in a virtual assistant?


The two options feel similar on the surface, but they're quite different in practice — and the right choice depends entirely on your business.

Let me break it down honestly.


The Case for Hiring an Employee

An employee makes sense when you need someone physically present, full time, and deeply embedded in your day-to-day operations. If you're running a shop, a clinic, or a team that needs managing in person — a hire is probably the right move.


But here's what people often don't factor in: the true cost of an employee goes well beyond their salary. When you hire an employee, you're also committing to employer National Insurance contributions, pension contributions, holiday pay, sick pay, equipment and workspace costs, recruitment fees, and all the legal and HR responsibilities that come with being an employer. For many small businesses, these costs add up to significantly more than the salary itself.


The Case for a Virtual Assistant

A VA operates completely differently. We're self-employed, which means you pay only for the hours or tasks you need — no NI, pension, holiday pay, or sick pay. No equipment or workspace costs. No recruitment fees. Just a discovery call.

You also get someone who comes with experience already built in. A good VA doesn't need months of onboarding — we're used to adapting quickly to new businesses, tools, and ways of working. And the arrangement is completely flexible — scale up or down as your needs change.


So Which Is Right for You?

Ask yourself: Do you need someone physically present? Do you need full-time, ongoing support? Are your needs consistent or variable? Are you ready for the responsibilities of being an employer?


For most sole traders and small businesses I speak to, a VA is the smarter starting point. It's lower risk, lower cost, and immediately impactful. You can always reassess as your business grows.
