5 Tasks Every Sole Trader Should Outsource First

If you're a sole trader, chances are you started your business because you're brilliant at something. Maybe you're a therapist, a photographer, a consultant, or a tradesperson. You had a skill, a passion, and the drive to build something of your own.
What nobody warned you about was the admin.
The emails that pile up while you're with a client. The invoices that need chasing. The diary that somehow books itself into chaos. The social media that you know you should be posting on, but haven't touched in three weeks.
Sound familiar?
Here's the thing — you don't have to do all of it yourself. In fact, trying to do everything is one of the biggest things holding sole traders back from actually growing. So if you're thinking about outsourcing for the first time but aren't sure where to start, here are the five tasks I'd recommend handing over first.
1. Email Management
Your inbox is probably one of the biggest time thieves in your business. Research suggests the average person spends over two hours a day on email — and for a sole trader wearing multiple hats, that's time you simply can't afford to lose.
A virtual assistant can monitor your inbox, filter out the noise, flag what's genuinely urgent, draft responses on your behalf, and make sure no enquiry ever goes unanswered. Imagine opening your laptop on a Monday morning to a clean, organised inbox with only the things that actually need you. That's what good email management looks like.
2. Diary and Calendar Management
How many times have you double-booked yourself? Forgotten a follow-up call? Spent twenty minutes going back and forth over email just to agree on a meeting time?
Diary management sounds simple, but it's one of those tasks that quietly eats your day if you're not on top of it. A VA can take complete ownership of your calendar — booking appointments, sending reminders, managing cancellations, and making sure your week is structured in a way that actually works for you.
3. Invoicing and Following Up on Payments
Invoicing is the task most sole traders either put off or rush through at the end of the month. And chasing unpaid invoices? Even worse — it's awkward, time-consuming, and easy to let slip.
But cash flow is the lifeblood of your business. Handing over your invoicing to a VA means it gets done consistently, professionally, and on time. Late payments get chased promptly and politely, and you can focus on the work that actually brings the money in — rather than the admin around it.
4. Social Media Scheduling
You know you need to be visible online. Your clients are scrolling, and if you're not showing up, someone else is. But consistently creating and posting content on top of running your business? It's exhausting.
A VA can take a content plan you're happy with and handle the scheduling, posting, and basic engagement monitoring — keeping you active and consistent online without it taking up hours of your week. You stay in control of your voice and message; we take care of the logistics.
5. Ad Hoc Research and One-Off Tasks
This is the category that surprises most sole traders when they first start working with a VA. It's all the little tasks that don't fit neatly into a job description but still take up your time.
Need someone to research venues for a client event? Source Christmas gifts? Scan and upload years of paper invoices? Put together a list of potential leads to contact? These are all things a good VA can handle — freeing you up to focus on the work only you can do.
Where Do You Start?
The hardest part of outsourcing for the first time isn't finding the right person — it's giving yourself permission to let go. If you've been a one-person operation for a while, relinquishing control can feel daunting. I completely understand that.
That's why I always start with a relaxed discovery call — no pressure, no commitment. We talk about your business, where you're struggling most, and whether working together makes sense. Most of my clients say they wish they'd done it sooner.
If any of the tasks above sound like your daily reality, I'd love to have a chat.
